Workflow

Workflow defines the approval and notification flow prior to publishing a page.  It can be a one-step to four-step process.

Overview

Workflow defines the approval and notification flow prior to publishing a page.  It can be a one-step to four-step process.  When a page is created, updated or deleted, it is assigned a workflow type.  Authors create pages and Editors approve them.  For preview to work in the workstation, user needs to be assigned to a display security group such as "everyone".

Steps

 

  1. Click the Workflow Icon (left) from the Edit Tab.  *A default workflow is established at the root level of the website but can be overridden.
  2. Set the desired workflow:
    1. No Workflow - An author can click on the publish icon and the page publishes immediately to the website
      1. Author → Publish → Page Published
    2. 1-Step Workflow - An author can click on the publish icon.  The result is a yellow caution sign icon will display in the TitanCMS tree next to the page and in the Results Edit Pane.  *This page will require one more publish step to be live on the website.  There is no assigned approval process so anyone with permission to that page can complete the publish process.
    3. 2-Step, 3-Step, 4-Step Workflow - An author can click on the publish icon.  The result is a yellow circle icon displaying with a number (the workflow process number).  *Each subsequent publish step will increment this number.  The page will be live when the final Editor performs the publishing action.
      1. Author → Publish → Editor 1 → Approve → Editor 2 → Approve → Page Published
      2. Author → Publish → Editor 1 → Reject → Author → Publish → Editor 1 → Approve → Editor 2 → Reject → Editor 1 → Reject - Author
  3. Set the Workflow Role of Selected Values:
    1. Click a option listed under Workflow Role and the list of options will display in Available Selections.
    2. Click the Show All if all items are not listed.   *If you know the name, you can also search by entering name in the search field.
    3. Select from Available Selections and click green arrow.  The Selected Values list will be updated.
  4. Click Save or Publish from the Page Action Bar to retain changes.
  5. View through the Dashboard widgets your pages needing review (Editor's) or awaiting review (Author's).

Prerequisite Steps
 

Log in to the workstation:

  1. Enter your TitanCMS URL in a browser address bar.  The Titan log in will display.
  2. Enter your User Name in the User Name field.
  3. Enter your Password in the Password field.
  4. Click Log In.  The TitanCMS application will open to the Web Content Management Module.

Find an existing item in the Nav Tree: 

  1. To expand the node in the tree, use the "+" 
  2. To minimize the node in the tree, use the "-"  
  3. To select the item to work with,  click on the item in the tree.  The item will become highlighted & the item and it's children will appear in the Browse Screen.

Access Edit Tabs

  1. Click on the box in front of your page(s) in the browse screen.  A check mark will appear. 
  2. Click on the appropriate Edit Tab.
